StopGap Foundation is looking for a Part-Time Administrative Coordinator to support and eventually coordinate the administration of our Ramps on Request Program.
Reporting to: Program Manager
Location: Toronto, with possibility of remote work after training period
Position Type: Part-time, hourly (6 month contract, with a possibility of extension or renewal)
Hours of Work: 10-15 hours per week, flexibly scheduled
Estimated Start Date: February 11th, 2020
Compensation: $18-20/hr, commensurate with experience, for 10-15 hours per week
About StopGap
StopGap Foundation is a Toronto based charity with national reach that raises awareness about the importance of accessibility, inclusion, and a barrier-free society. This work is being achieved through a number of programs including our sought after Ramp Project which involves outfitting single-stepped entryways with customized brightly coloured access ramps. The ramps have been placed in over 2000 locations in more than 60 communities across the country!
Alongside the Ramp Project, StopGap Foundation runs multiple education, outreach, and team building programs to increase awareness of both external and internal (embodied) barriers. These programs are successfully helping communities and the people living in them reach their full potential.
Who We Are:
StopGap Foundation is staffed by a small but mighty team with an active and engaged Board of Directors. StopGap’s Co-Founder and Executive Director works closely with our Program Manager; School Project Manager; and Volunteer, Outreach, and Delivery Coordinator.
The Position:
StopGap Foundation is looking for a part-time Administrative Coordinator.
The successful candidate will report to and work closely with our Program Manager to support and eventually coordinate the administration of our Ramps on Request Program.
This cornerstone program allows us to help remove barriers caused by single-stepped entryways, helps us achieve our awareness-raising goals, and assists in generating income to keep the StopGap ship afloat. This program supports, and therefore needs to be administered, scheduled and coordinated within the dynamic ecosystem of all of our programs.
What you will do:

Receive and respond to ramp request emails.

Monitor and respond to requests received via our Ramps on Request Form

Receive and process requests for ramps from our School Project Community Ramp Projects in Toronto and other cities across Canada.

Evaluate ramp request submissions to ensure all the requirements are included as outlined here – https://stopgap.ca/get-involved/request-a-ramp/, requesting new photos, documents, waivers or information as necessary.

Create and amend client profiles in Quickbooks and/or organizational files and folder.

Create and send client estimates/quotes, and invoices via Quickbooks.

Organize and send required information to contractors to facilitate ramp construction

Support the Program Manager and Volunteer, Outreach, and Delivery coordinator with relevant documentation for team or volunteer painting, delivery, shipping, and more.

Other related administrative duties as assigned and agreed upon.

Exceptional at paying attention to details and managing many different tasks and projects. You will be responsible for ensuring that hundreds of small things happen. You are someone who embraces challenges and is comfortable managing multiple timelines, priorities, and email inboxes. You can work through a task list, knowing when to ask questions or seek support without needing to rely heavily on others. You have an ability to move things along a process continuum in chaotic environments.

You have a customer-service orientation. You’re a ‘people person’ and strive to support the well being of yourself and others. This position requires attending to a constant queue of inquiries and it would be well suited to someone who has worked in call centres, hospitality, or other CRP positions.

You are interested in part-time work. This position is suited for someone who’d like to supplement their work week with 10-15 hours per week at/for StopGap. There may be an opportunity in the future for increasing the hours / workload but this is not suited for someone who needs full-time in the immediate future.
Requirements:

Access to a laptop and knowledge of using technological software such as DropBox, Microsoft suite programs (Word, Excel), Google Suite programs (Docs, Drives, Sheets), Quickbooks, WordPress and more.
